Privacy Policy

We respect your privacy and take the protection of your personal data seriously. This document explains what data we collect on the website ai-agent.com.ua (the “Website”), why we use it, with whom we share it, and what rights you have. By using the Website or submitting a request to us, you confirm that you have read this Policy and agree to its terms.

1. Who we are

The website ai-agent.com.ua (“we”, “us”, “AI Agent”) provides services for the development and implementation of AI agents and chatbots that automate business processes. We operate from Ukraine and serve clients worldwide.

2. What data we collect

We collect only the data that is necessary to provide our services, respond to your request and ensure the proper operation of the Website.

2.1. Data you provide voluntarily (via the contact form):
  • name;
  • email address;
  • phone number;
  • message text / description of your task.
2.2. Data collected automatically:
  • IP address and approximate location (country / region);
  • browser type, version and language, operating system, device type, screen resolution;
  • pages you visit, referrer, time spent on pages;
  • cookies and similar identifiers (see section 7).
2.3. Data from messengers. If you contact us via our Telegram bot @ai_agent_com_ua_bot, we receive your username, name and the text of the messages you send to the bot. We do not receive your phone number unless you share it yourself.

We do not knowingly collect: bank card data, passwords, identity-document data, medical or other sensitive personal data.

3. Legal basis and purposes of processing

We process your data on the following legal grounds (under the Law of Ukraine “On the Protection of Personal Data” and, where applicable, the GDPR):
  • Your consent — when you fill out a form, write to us on Telegram or send us an email.
  • Performance of a contract or pre-contractual steps — to provide you with a quote, proposal or service you have requested.
  • Legitimate interests — to keep the Website secure, analyse traffic, improve our service and prevent abuse.
  • Legal obligations — when required by applicable law.
Purposes of processing:
  • handling and fulfilling your requests and orders;
  • communicating with you about your enquiry;
  • sending commercial offers and information about our services (only with your explicit consent);
  • analysing user behaviour and improving the Website;
  • ensuring information security, detecting and preventing fraud;
  • complying with legal obligations.

4. Whom we share your data with

We do not sell your personal data. We may share it with a limited number of trusted parties strictly for the purposes described in this Policy:
  • Partner CRM platform. Submissions from the Website form are automatically forwarded to a request-handling system at lapki.pet/rest/request-for-company/create for further processing by our team.
  • Google LLC — for Website analytics via Google Analytics 4 (ID G-LJWK90YMF9). Anonymised visit data is transmitted.
  • Telegram FZ-LLC — if you interact with our Telegram bot.
  • Hosting provider on whose servers the Website is hosted.
  • Authorised government bodies — in cases expressly provided for by Ukrainian law.
Some of these services (Google, Telegram) may store data outside Ukraine and the EU. We choose providers that ensure an adequate level of data protection in line with international standards.

5. How long we keep your data

We retain personal data only for as long as it is necessary for the processing purpose, or for as long as the law requires:
  • contact form submissions and correspondence — up to 3 years from the last communication;
  • analytics data (Google Analytics) — up to 14 months in anonymised form;
  • server log files — up to 6 months;
  • data required to comply with legal obligations (e.g. accounting) — for the periods set by Ukrainian law.
After these periods expire, the data is deleted or anonymised.

6. How we protect your data

We apply technical and organisational measures to protect your data against unauthorised access, alteration, disclosure or destruction:
  • data submitted via forms is transmitted exclusively over a secure HTTPS (TLS) connection;
  • only authorised staff bound by confidentiality have access to the data;
  • security headers are in place (X-Frame-Options, X-Content-Type-Options, X-XSS-Protection);
  • form data is sanitised against potentially harmful code before processing;
  • we regularly update our software and infrastructure.
Despite this, no method of transmission or storage on the Internet is 100% secure. We cannot guarantee absolute security, but we do everything we reasonably can to ensure it.

7. Cookies and analytics

The Website uses cookies and similar technologies to function correctly, analyse traffic and improve your experience.

Types of cookies we use:
  • Strictly necessary — for the basic functioning of the Website (e.g. remembering your language).
  • Analytics — Google Analytics 4 (_ga, _ga_*) to collect anonymised visit statistics.
You can disable cookies at any time in your browser settings. Please note that this may affect the operation of some Website features.

8. Your rights

Under Ukrainian law and the GDPR, you have the right to:
  • know what data of yours we process and for what purpose;
  • obtain a copy of your personal data;
  • request correction of inaccurate or outdated data;
  • request deletion of your data (the “right to be forgotten”), unless this conflicts with our legal obligations;
  • restrict processing or object to it;
  • withdraw your previously given consent at any time, without giving a reason;
  • lodge a complaint with the Ukrainian Parliament Commissioner for Human Rights (ombudsman.gov.ua) or the relevant supervisory authority in your country.
To exercise any of these rights, send a request to info@ai-agent.com.ua. We will respond within 30 days.

9. Children's data

The Website is not intended for persons under the age of 16. We do not knowingly collect personal data from children. If you discover that a child has provided us with personal data without parental or guardian consent, please contact us at info@ai-agent.com.ua and we will delete such data immediately.

10. Links to third-party resources

The Website may contain links to third-party resources (e.g. Telegram, Google Fonts). We do not control and are not responsible for the privacy practices of these resources. We recommend reviewing their terms separately.

11. Changes to this Policy

We may update this Privacy Policy from time to time. The current version is always available on this page with the date it was last updated. If the changes are significant, we will notify you additionally (e.g. by email or via a banner on the Website). Your continued use of the Website after changes are made constitutes your acceptance of the updated Policy.
